User Accounts: Office 365

This will go over how to create, disable and reenable Office 365 accounts along with the mail groups each active account should be in.


Make:

  1. Go to your Microsoft Home page.

    1. https://www.office.com/?auth=2

  2. On the left menu, click on ‘Admin’.

    1. This will open another tab.

    2. This will take you to the admin center we mainly use.

  3. On the left menu, click the dropdown ‘Users’.

  4. Click ‘Active users’.

  5. Click ‘Add a user’

    1. Located towards the top under the title of the page.

    2. This will open a section on your current browser.

  6. Enter in the asked information.

    1. First & Last name.

    2. Display name will auto fill to combine the First and Last.

    3. Username should ALWAYS be First initial + Last name.

    4. Password should always be ‘Ticketboat123$123’

      1. Mark ‘Require this user to change their password when they first sign in’.

    5. All other check boxes in this area should be unchecked.

  7. Click ‘Next’

    1. This will bring you to the next section to assign a license.

  8. Look for ‘Microsoft 365 Business Basic’ and check ONLY that box.

    1. This is assigning them that license.

    2. If there are less than 2 left, notify your manager.

  9. Click ‘Next’

    1. Leave the next section, ‘Optional settings’, ALONE.

      1. These permissions are messed with on an as needed basis.

  10. Click ‘Next’

  11. Verify your information.

  12. Click ‘Finish adding’

Disable:

  1. Follow steps 1-4 from the ‘Make’ Section.

  2. Locate the user.

  3. Click on them.

    1. This will open a side menu.

  4. Click ‘Block sign-in’.

    1. This keeps them from signing in and logs out existing sessions.

  5. Click ‘Licenses and apps’.

  6. Unselect the licenses checked there.

    1. Nothing should be selected in that menu.

  7. Click ‘Save Changes’ at the bottom

  8. Click ‘OneDrive’

  9. Under the ‘Get access to files’ header click the blue lettering ‘Create link to files’.

    1. This will create a link you can click to gain access to what they had in their OneDrive.

  10. Copy that link and email the employee’s manager

    1. Explain they have a set amount of time to go through the files before they are deleted.

      1. The time they have is the retention period for the employee.

Reenable:

  1. Follow steps 1-4 from the ‘Make’ Section.

  2. Find the user.

    1. If unable to find in anyway, start from scratch and follow the ‘Make’ section.

  3. Click on them.

  4. Click ‘Unblock sign-in’

  5. Click ‘License and apps’

  6. Assign ‘Microsoft 365 Business Basic’ license

  7. Click ‘Save changes’

  8. Click ‘Reset password’

    1. Reset to ‘Ticketboat123$123’

    2. Mark ‘Require this user to change their password when they first sign in’.

There are some common mail groups everyone is in, but departments have their own mail groups they need to be in. Please reference the following instructions and tables on who goes in what.

Adding/Removing groups:

  1. Find user.

  2. Click on them.

  3. Click on ‘Account’.

    1. Should automatically be there.

  4. Click ‘Manage groups’.

  5. Click ‘Assign memberships’ to add them to a group.

    1. Alternatively, you can highlight to existing ones and click ‘Remove’.

  6. Search the group needing to be added.

    1. Information below in the chart.

Instructions for creating a new user in Office 365

 Instructions

  1. Open Office 365

    1. Click the dots in the upper right

      1. Select ‘Admin’

  2. Users

    1. Active Users

  3. Add a user

    1. User’s first and last name and username. Username will always be first initial of their first name and their last name (ex. John Smith would be JSmith)

    2. Select appropriate licenses (most people will need Business Basics only)

    3. Leave the profile fields blank.

    4. Finish.

  4. Search for the user and select “Manage Groups”

    1. Assign group access based on department. (table below)
